Accounting and Administrative Clerk

Reports to: Assistant Controller
SUMMARY:
The Accounting/Administrative Clerk is a pivotal role responsible for managing essential accounting functions while providing crucial administrative support. This role involves handling accounts payable and receivable, reconciling financial records, and ensuring compliance with accounting standards. Additionally, the position entails administrative tasks such as managing correspondence, scheduling appointments, and maintaining organized filing systems. Exceptional time management, being detail-oriented, proficiency in accounting software, and possessing strong organizational and communication skills are critical for success.
KEY RESPONSIBILITIES:
The Accounting/Administrative Clerk has the following duties:
Accounting Functions:
- Manage accounts payable and accounts receivable processes, including invoice processing, payment collection, vendor and internal departments communication.
- Reconcile and resolve invoicing and vendor issues, identifying discrepancies and ensuring accuracy of credit card purchases and receipts, purchasing orders and receiving documents.
- Maintain detailed records of financial transactions and assist with month-end closing procedures.
- Prepare financial reports and assist with budgeting and forecasting activities.
- Collaborate with the finance team to ensure compliance with accounting standards and regulations.
- Support other accounting and finance functions as needed.
Administrative Support:
- Handle incoming calls, emails, and correspondence, redirecting inquiries as necessary and providing exceptional customer service.
- Maintain organized filing systems, both electronic and physical, to facilitate easy access to important documents.
- Coordinate office supplies to ensure smooth operations.
- Assist with special projects and initiatives as assigned by management.
REQUIREMENTS SKILLS/COMPETENCIES:
- Bachelor’s degree or equivalent in an accounting or related field is preferred.
- At least 5 years of proven experience in an accounting role is required. Accounts payable and receivable experience is mandatory.
- Proficient in the use of computers, Word, Excel, Internet, Outlook and including accounting software.
- Excellent organizational and problem-solving skills with a proactive approach to handling challenges.
- Strong communication skills: ability to interact productively with supervisors, peers, internal and external customers.
- Ability to work under pressure and meet tight deadlines.
- Ability to learn and apply specific laws, rules, policies, regulations, and procedures relevant to the accounting and administrative functions of the role.
